Job Description

Responsible to: Vehicle Sales and Marketing Manager

Summary:

Must be friendly, organized, and professional. The Automotive Receptionist is to be the first point of contact for our customers. The ideal candidate must possess excellent communication skills, a positive attitude, and the ability to manage a variety of tasks efficiently.

As an Automotive Receptionist, you will play a key role in creating a welcoming atmosphere and ensuring smooth day-to-day operations.

Key Responsibilities:

  1. Greet and assist customers with a warm and professional demeanour.
  2. Answer incoming phone calls and route them to the appropriate department or staff member.
  3. Schedule service appointments and test drives, ensuring accurate and timely bookings.
  4. Handle customer inquiries and concerns with a focus on providing solutions and excellent service.
  5. Maintain a clean and organized reception area.
  6. Process transactions, including service orders and vehicle sales, accurately and efficiently.
  7. Coordinate with the service department to manage and update appointment schedules.
  8. Assist with administrative tasks such as filing, data entry, and record keeping.
  9. Provide information about dealership services, promotions, and vehicle inventory.
  10. Support other departments as needed to ensure a seamless customer experience.

Job Requirements

Qualifications:

  1. Diploma in Office Management or equivalent; additional education or training in customer service or office administration is a plus.
  2. Previous experience in a receptionist or customer service role, preferably in the automotive industry.
  3. Strong verbal and written communication skills.
  4. Proficiency in using phone systems, computers, and common office software (e.g., Microsoft Office).
  5. Ability to handle multiple tasks and remain organized in a fast-paced environment.
  6. Excellent interpersonal skills with a customer-focused attitude.
  7. Basic understanding of automotive services and terminology is beneficial but not required.
