Post Title: Assistant Administrative Officer

Responsible to: Manager (Vehicle Examination & Inspectorate Unit)

Working Hours: Normal: 7.30am to 3.30pm

Job Description

Main Purpose of the Job

To provide the administrative support and services to the station and ensure that transport, security, premises upkeep, cleaning, utilities, purchasing, office supplies, equipment, housekeeping, messenger and telephone services operate efficiently.

Duties and Responsibilities

  1. Purchasing of all office supplies, materials, furniture and equipment and keeping proper records.
  2. Ensuring that the necessary approval is obtained for procurement of all goods/services accordingly.
  3. Ensuring that invoices are received for all transactions and payment prepared accordingly.
  4. Keeping and updating the general ledger of the Division and ensuring that the Division is not over spending.
  5. Liaising with Suppliers regarding purchases and payments.
  6. Liaising with the Accounts Section to ensure that all suppliers invoices and utility bills are paid.
  7. Keeping of imprest of the Unit and ensure that all records are kept promptly.
  8. Ensuring that all expenses are made within budget limit.
  9. Ordering and issuing of stationery and cleaning materials and ensuring that a good level of stock is maintained accordingly.
  10. Maintaining a register of all stock of stationery and cleaning materials purchased and issued.
  11. Administration of the Ministry’s transport fleet including procurement/purchase of new vehicles, dispensing or hire as necessary.
  12. Ensure that the building is well clean by the cleaning agency.
  13. Maintaining an Inventory/Asset Register for the unit and ensuring that each item is provided with an identification number.
  14. Undertaking physical checks of the Unit s assets to ensure its correct location in accordance with the asset register.
  15. Ensuring the proper cleaning/landscaping of the building.
  16. Assisting in the preparation of the unit’s budget.
  17. Any other duties of a similar nature that may be undersigned by the Manager, or the Principal Secretary.

Job Requirements

Recognised Qualifications and Requirements

  • Degree in Business Administration or relevant field, plus five year post qualifying experience

Or

  • Four years experience as Administrative Officer

Other Requirements

  • Must have good public relations, communications, and negotiation and inter-personal skills.
  • Must be able to work irregular hours.
