Position Title: Club Administrator

Location: Mahe Skimmers Sports Club

Reports To: Executive Committee

Job Description

Job Summary:

Mahe Skimmers Sports Club is seeking a dedicated and organized Club Administrator to manage the daily administrative functions of the club. The ideal candidate will play a crucial role in ensuring smooth operations, supporting coaches and members, and maintaining accurate records.

Key Responsibilities:

Financial Management:

  • Collect and process membership payments and fees.
  • Maintain accurate records of all financial transactions, including petty cash management.
  • Prepare and submit payments for club expenses as needed.

Administrative Duties:

  • Handle general office tasks, including answering calls, responding to emails, and managing correspondence.
  • Maintain organized records of swim groups, schedules, and coach hours.
  • Assist coaches with administrative tasks such as scheduling, communication, and event planning.

Data Management:

  • Keep up-to-date records of member registrations, attendance, and participation in events.
  • Ensure compliance with club policies and procedures in all administrative activities.

Communication:

  • Act as a point of contact for club members, addressing inquiries and providing information about club activities.
  • Collaborate with the executive committee to provide feedback on operational issues and improvements.

Operational Support:

  • Assist with the planning and execution of club events, competitions, and training sessions.
  • Monitor inventory and supplies, ordering as necessary to ensure the smooth operation of the club.

Other Duties:

  • Participate in regular meetings with the executive committee to discuss club operations and provide updates.
  • Perform any other relevant duties as assigned by the executive committee.

Job Requirements

Qualifications:

Education: High school diploma or equivalent; relevant administrative or business qualifications are a plus.

Experience: Previous experience in an administrative role, preferably in a sports or community organization.

Skills:

  • Strong organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word, Excel, and Outlook) and experience with accounting software is an advantage.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving abilities.

Working Conditions:

Working Hours:

  • Monday to Friday: 10:00 AM to 5:00 PM
  • Wednesday: Off
  • Saturday: 8:00 AM to 12:30 PM

Work environment may include both office and outdoor settings.
