Responsible to: Director Administration Human Resources
Working hours: 35 hours week
Job Description
Summary of Duties
- Responsible for processing human resources and administrative issues and proper upkeep of records.
- Responsible for occupational safety and health.
- Assist the Director with Manpower Budget exercise and Goods and Services budget
- Assist the Director with performance management.
- Assist the Director with disciplinary procedures.
Duties and responsibilities
Recruitment and Staffing
- Conduct job analysis and define roles, responsibilities, and requirements.
- Manage talent acquisition processes, including job postings, interviews, and candidate selection.
- Coordinate onboarding programs to ensure smooth integration of new employees.
Performance Management
- Assist in the implementation of performance appraisals.
- Provide constructive feedback and support performance improvement strategies.
Compensation and Benefits
- Process salary administration, payroll changes, and benefits management.
- Develop and manage incentive and reward programs.
- Monitor and address compensation-related grievances.
Employee Relations
- Address and resolve workplace conflicts and grievances.
- Promote a positive work environment through employee engagement activities.
- Advise and guide employees and heads of divisions on HR policies and procedures.
HR Policy Development
- Collaborate on the formulation and implementation of HR policies and procedures.
- Communicate policies effectively to ensure compliance and understanding.
- Provide feedback for the regular review and update of HR policies.
Workforce Planning and Budget Management
- Contribute to the preparation, implementation, and monitoring of the HR budget.
- Assist in the manpower budget exercise
Health and Safety
- Promote occupational health and safety in the workplace.
- Implement safety programs, conduct inspections, and ensure regulatory compliance.
- Deliver training on health and safety practices and submit recommendations for improvement.
HR Information Systems (HRIS)
- Provide oversight of HRIS to ensure accurate and up-to-date employee records and HR data.
- Review HR analytics to support informed decision-making and improve operations.
Legal Compliance
- Ensure compliance with labor laws and employment regulations.
- Manage documentation for audits and legal requirements.
- Support the resolution of employment-related legal issues.
Additional Duties:
- Deputize and provide supervision for HR staff in the absence of the Director.
- Maintain proper upkeep of HR records.
- Submit monthly reports on HR activities.
- Process applications work permits for expatriates and interns.
- Coordinate local consultancy procurement processes.
- Support job evaluation exercises and provide input in organizational policy reviews.
- Attend relevant external meetings on health, safety, and employment matters.
- Perform other related duties as assigned.
