Post Title: Assistant Accounts Administrator
Job Description
Main objective:
A strong and modern PFM system underpins and strengthens efficiency in the delivery of public services to the public, improve planning and resource allocation in the public sector and enhances transparency and accountability in the administration of the public treasury.
Overview:
As Assistant Accounts Administrator, you will play a crucial role in ensuring the smooth and efficient operation of the Treasury Accounts Administrator unit. You will be responsible for various administrative tasks related to accounts payable, accounts receivable, government payroll system, financial record-keeping, general office support and liaise with various ministries departments and agencies to provide them with solution concerning accounting and FMIS issues. In addition, attention to detail, organizational skills, ability in accounting software and knowledge in Microsoft office suite are essential for success in this role.
Duties and Responsibilities:
- Process accounts payable transactions, including verification of payment vouchers, verifying coding expenses, and directing payment vouchers for payment execution, including tracking of payments.
- Process accounts receivable activities, including verifying, posting and update of MDA’s cash, cheques, point of sale (POS) and bank transfers revenues.
- Maintain accurate financial records by entering data into accounting software to be reconciled with bank statements.
- Generate financial reports as needed, such as ledger listing, reconciliation reports. Respond to MDA’s inquiries to resolve any suppliers’ discrepancies or issues in a timely manner.
- Maintain organized filing systems for financial documents and ensure compliance with record retention policies.
- On a monthly basis assist with payroll processing including posting of payroll amendments and other changes.
- Assist with month-end and year-end closing procedures, including posting and updating journal entries and associated tasks.
- Maintain a very high level of confidentiality and secure all financial information.
- Provide general administrative support to the accounts administrator unit, such as answering phones, responding to e-mails, and filing paperwork.
- Any other duties related to the post as assigned by the Senior Accounts Administrator or the Chief Accountant.
Job Requirements
Qualifications and Experience
- A Level in Accounting/ Maths/ Computer Studies or related field plus three years’ satisfactory experience as Database administrator; Or
- Advanced Certificate in Accounting plus three years satisfactory experience as an Accounts Technician; Or,
- Diploma in ICT/ Computer Studies/Public Financial Management/ Business Studies or equivalent Diploma in Accounting or related field plus two years’ satisfactory work experience as Database administrator or Accounts Technician; Or,
- Advanced Diploma in ICT/Computer Studies/F1 to F9 or equivalent Advanced Diploma in Accounting or related field plus one year satisfactory work experience as Database Administrator or Accounts Technician
