Job Description
Job Summary
The role is responsible for managing all administrative functions within the Intelligence and Investigations Unit, reporting directly to the Chief Investigation Officer. This includes maintaining accurate records of investigation files, tracking case statistics, handling requests and responses, and managing correspondence. The position also provides administrative support to the investigation teams, ensuring the confidentiality and security of sensitive information, and ensuring compliance with Anti-Corruption legislation and protocols.
Main Duties & Responsibilities:
- Perform administrative tasks for the Investigation Unit, including photocopying, scanning, and drafting correspondence.
- Prepare and maintain the agenda for ongoing investigations and hearings.
- Maintain the investigations registry and document legal advice and regulatory information.
- Ensure the confidentiality, security, and privacy of investigation records.
- Assist with the updating and maintenance of the Case Management database.
- Keep records of documents as directed and enter confidential data related to investigations.
- Liaise with HR for requisitions on behalf of Investigation Unit staff.
- Ensure compliance with relevant Anti-Corruption legislation, policies, and protocols.
- Represent the Commission in external meetings and committees when required.
- Perform other related functions as assigned by the supervisor.
- Uphold ethical, moral, and legal standards in all work.
Job Requirement
Minimum Requirements:
- Certificate in Office Management or Secretarial Studies or ‘O’ Levels – English and French
- Minimum three years’ work experience as a secretary or Office Assistant
Desirable Qualifications & Experience:
- Experience gained in a legal, investigation office environment will be particularly relevant.
- Significant executive support experience is highly preferred.
- Driving License class 2

Type of position: Permanent, full-time position
Work conditions:
- Work is performed primarily in an office setting.
- Working in a fast-paced and versatile environment.
- May have to work on weekends and extended hours as and when required.
- Working with large datasets
- May be required to drive to attend to role-related functions.
Working hours per week: 8 hours per day, Monday to Friday
