Job Description
Job Summary
The Maintenance Coordinator is responsible for coordinating and monitoring maintenance and repair works across PMC residential estates and properties. The role ensures that maintenance requests are attended to efficiently, contractors are properly supervised, and tenants receive quality service in line with PMC policies and procedures.
Duties and Responsibilities
- Receive, record, and process maintenance requests from tenants, staff, and management.
- Allocate work orders to maintenance teams, contractors, or technicians.
- Follow up on pending maintenance issues and ensure timely completion of works.
- Coordinate emergency repairs and urgent maintenance interventions.
- Conduct site visits and inspections to assess maintenance requirements.
- Ensure maintenance works comply with safety standards and PMC requirements.
- Liaise with contractors, suppliers, and service providers regarding ongoing works.
- Request quotations for maintenance works and prepare documentation for approval.
- Monitor contractor performance and ensure works are completed satisfactorily.
- Verify completed works before processing invoices for payment.
- Maintain proper records of maintenance requests, quotations, work orders, and reports.
- Prepare weekly and monthly maintenance reports.
- Track maintenance expenses and assist with budget monitoring.
- Assist in preparing procurement and approval documents.
- Maintain filing systems for maintenance documentation and contractor records.
- Respond to tenant complaints and maintenance concerns professionally.
- Provide updates to tenants regarding scheduled repairs and ongoing works.
- Ensure good communication between PMC, tenants, and contractors.
- Ensure maintenance activities are carried out safely and in accordance with health and safety regulations.
- Report unsafe conditions, incidents, or hazards immediately.
Any other related duties that may be assigned.

Job Requirements
COMPETENCIES
- Good organizational and coordination skills.
- Strong communication and interpersonal abilities.
- Ability to prioritize tasks and work under pressure.
- Knowledge of building maintenance and repair processes.
- Computer literacy, including Microsoft Office applications.
- Problem-solving and decision-making skills.
- Ability to prepare reports and maintain records accurately.
Qualification
- Diploma in Construction, Property management or a related field is preferred
Desirable
- Knowledge of health and safety regulations and best practices in maintenance operations
- Proficiency in maintenance management software and Microsoft Office Suite
Experience
- Minimum of 2 years’ experience in maintenance coordination, facilities management, or property maintenance.
- Experience working with contractors and maintenance teams will be an advantage.

- Detail-oriented with a proactive approach to problem-solving.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Strong leadership skills
Work Environment
- Office-based with frequent site visits to properties.
- May require occasional after-hours or weekend work for emergencies.
