Position Title: HR Administrator

Job Description
Job Purpose
The HR Administrator is responsible for providing comprehensive administrative and operational support to the Human Resources department. This role ensures smooth HR processes across recruitment, onboarding, payroll support, employee relations, and expatriate administration. The HR Administrator also acts as the liaison with the Ministry of Employment and Immigration for GOP (Gainful Occupation Permit) applications and assists with various staff engagement and development initiatives.
Key Responsibilities:
WORK PERMIT (GOP) ADMINISTRATION:
- Manage all aspects of GOP administration, including preparation, submission, and follow-up with the Ministry of Employment and Immigration.
- Maintain and update the weekly GOP tracker to ensure accurate and current records.
- Coordinate renewals, cancellations, and new applications in compliance with Seychelles labour and immigration laws.
ON BOARDING AND INDUCTION
- Coordinate induction and orientation sessions with relevant department managers.
- Prepare induction materials and ensure all new hires complete onboarding checklists.
- Support expatriate staff in settling into Seychelles, including assistance with opening bank accounts, obtaining driver’s licences, and other relocation logistics.
LEAVE AND ABSENCE ADMINISTRATION
Manage sick leave documentation and prepare monthly reports for submission to the Seychelles Social Security Fund.
- Maintain accurate leave records and ensure compliance with company policies and statutory requirements.
RECRUITMENT AND SELECTION
- Prepare and post job advertisements on the Nation newspaper and local job boards.
- Screen and shortlist local applicants and schedule interviews with hiring managers.
- Maintain recruitment records and support the full recruitment cycle for local and expatriate roles.
EMPLOYEE RELATIONS AND ADMINISTRATION
- Prepare employment contract addendums and updated job descriptions for staff role changes or promotions.
- Maintain organized employee files (digital and physical) ensuring confidentiality and compliance.
- Assist with disciplinary or grievance documentation when required.
APPRAISALS AND PERFORMANCE MANAGEMENT
- Administer the appraisal process ensuring all employees complete their appraisal forms.
- Schedule review meetings between line managers and employees.
- Compile appraisal feedback and ensure it is recorded and communicated to HR management.
EXIT PROCESS
- Coordinate and conduct exit interviews.
- Process employee terminations, ensuring all documentation, clearance forms, and final payments are completed.
EMPLOYEE ENGAGEMENT
- Support initiatives that promote employee wellbeing and positive workplace culture.
- Coordinate staff activities and events including:
- End-of-year party
- Monthly town hall briefings
- Quarterly social events (e.g., hikes, team-building sessions)
LEARNING AND DEVELOPMENT:
- Liaise with the Seychelles Institute of Management (SIM) to identify and enroll high-performing employees in management and development courses.
- Support coordination of internal training sessions and maintain training attendance records.
GENERAL HR ADMINISTRATION:
- Provide day-to-day administrative support to the HR department.
- Assist with ad hoc HR projects and initiatives as required by management.
