Division/Section: Human Resource and Administration
Post Title: Office Assistant
Responsible to: Human Resource and Budget Management Officer
Job Description
Duties and Responsibilities:
- Answering and routing telephone calls;
- Receiving visitors and directing them to the respective offices;
- Record and type minutes of meetings for technical units of the Ministry;
- Compile and record ingoing and outgoing files;
- Ensure all dispatch is recorded and dispatched accordingly;
- Retrieving copies of the Nation/ Today extracts relating to our Department;
- Photocopying of documents as and when necessary;
- Setting up and maintaining files and record systems as required;
- Booking of meeting room as and when necessary;
- Liaise with DICT for any IT issues and requirements;
- Assist Private Secretary given the urgency of the duties;
- Coordinate cleaning services for the offices;
- Oversee the storage and disbursement of office stationeries and consumables;
- Provide support and perform routine clerical duties within the technical units and Minister’s Secretariat when required under supervision; and
- Any other duties as may be directed by the Human Resource and Budget Management Officer.
Benefits
Salary Band: SB 1 – SB 2
Job Requirements
Minimum requirements:
- IGCSE in English/ o Level/ IGSCE French/ Delf B1 with demonstrated capability for undertaking clerical or secretarial work plus four years satisfactory work experience
OR
- Certificate in Secretarial/Clerical Studies/Certificate in Office Management (SIM)/Certificate in General Management plus two years satisfactory work experience
OR
- Diploma Office in Management and Administration/Diploma Secretarial Studies
OR
- Advanced Diploma in Office Management and Administration
