Job Description
Summary of Duties
To provide high-level secretarial and administrative support to the Directors of REFLECS3 and NISCC, ensuring the efficient coordination, organization, and management of office activities and contributing to the smooth and effective functioning of both offices.
Key Responsibilities
- Receiving and advising telephone and personal callers, interviewing them on the nature of their business, conveying answers where applicable and relaying messages in the absence of or unavailability of the Directors.
- Answer routine correspondence.
- Schedule engagements and appointments.
- Ensure proper receipts and delivery of correspondence, reports, e-mail, etc.
- Take and transcribe dictation.
- Undertake recording and preparation of minutes of meetings.
- Set up and maintain filing systems and other records systems as required.
- Undertake other secretarial or special duties as requested by the Directors.
Benefits
Salary shall depend on qualifications and experience.
Job Requirements
MINIMUM QUALIFICATION AND EXPERIENCE
- Diploma in Office Management and Administration / Diploma in Secretarial Studies / Certificate in Office Management / Certificate in General Management.
- Must be computer literate.
- 3 years and above in a similar position.
- Have the ability to work effectively by organizing and implementing office procedures, providing administrative support and routine basic technical support without constant supervision.
- Have good interpersonal skills with a high level of integrity, discretion and confidentiality.
- Must be able and willing to work irregular hours.
