Responsible to: Spares Manager for Spares Sales/Product Manager for Vehicle Sales

Sales Duties:

The main responsibility is to provide excellent customer service through answering phone calls and attending to customer enquiries both over the phone, in person and via email. You will also be required to administratively assist the Spares Department with selling of spare parts.

  • Responsible for the co-coordinating of work involved in the operations of Pre-Delivery Inspections (PDI) with the Product Manager and Car Detailer including but not limited to washing, waxing, polishing and detailing all vehicles in the bonded warehouse including the fleet vehicles when advised.
  • Ensure the reliability and roadworthiness of the fleet of vehicles in the bond to match operational requirements
  • Perform regular inspections of Vehicles at all our bond area and ensure that the environment in which they are stored is well maintained and up to standard
  • Contact our cleaning contractor to clean the bond area on a regular basis (biweekly to monthly based on requirements)
  • Ensure cleanliness of your workstation and the showroom and do what is necessary when required to maintain a high standard of customer service and clean working environment
  • Ensure that all relevant documentation and established maintenance regimes (Procedures) are adhered to at all times i.e. Administer, in proper order, all PDI documentations in areas of:
    • Incoming Consignments,
    • Job cards
    • Invoices
    • Creation of purchase orders
    • Goods Received Notes (GRNs).
  • Diagnose, rectify and maintain vehicles to the required, legal, company and dealer standards
  • Inspect the incoming and current stock of vehicles in our bond area and showroom
  • Responsible to coordinate the delivery and display of vehicles in the showroom ensuring they are clean and presentable at all times
  • Ensure the quality of new cars be at levels meeting customer expectations and ensuring customer satisfaction at delivery.
  • Liaise with the Service Manager for outstanding PDI mechanical work to be performed (if any) after delivery.
  • Assist the Technicians in workshop with specific electrical diagnosis for EV/HEV Vehicles
  • Assist the Sales and Marketing department with any official company events and coordination of vehicles thereof to be used whilst also ensuring the safe transportation of these vehicles.
  • Take vehicles to VTS and ensure all formalities are completed before delivery to a client.
  • Any other duties that may be assigned from time to time.

Other Duties:
To be rotated in the Saturday Rota and lunch Rota as directed by the Manager/Supervisor

Vehicle Sales Duties in showroom when required:

The main responsibility is to provide administrative support to the Vehicle Sales Department by carrying out the following:

  • Ensure the cleanliness of vehicles displayed in the showroom and advise PDI section accordingly
  • Fill out SLA forms in relation to vehicle sales when required and request registration numbers
  • Manage influx of calls from customers for Vehicle sales as well as assist walk in clients
  • Assist in the sales process of Vehicle Sales including but not limited to:
    • Compiling Customer files
    • Administrative filing
    • Following up on potential sales with customers
    • Contacting external stakeholders to speed up the sales process and collection of funds (Banks, Companies, Clients)
    • Assist with compiling and execution of Tenders including but not limited to collecting tender documents, filling out tender forms, emailing and dropping off documents at the National Tender Board

Job Requirements

  • Basic knowledge of Microsoft Excel: record keeping and manipulation
  • Know how to effectively use EVOLVE
  • Basic Report generation/writing (Microsoft Word)
  • Microsoft Outlook (Send/receive/follow-up emails)

Qualification:

  • Certification in Computing/Electrical Mechanics/ Electrical engineering (diagnostics) or related field plus two years’ experience
  • 1 year or more experience working in an Automotive Company or company within the Automotive Industry plus knowledge of spare parts (KIA) and other brands
  • Must be computer literate with experience in Microsoft Office

NB: No annual leave to be taken in December – January period
