Job Description
Job Purpose:
The Procurement & Inventory Officer is responsible for managing procurement activities, coordinating the importation of goods, and ensuring accurate inventory control. The role ensures that all stock movements are properly recorded, goods are received in the correct quantities and condition, and suppliers and logistics partners are effectively managed.
Key Responsibilities
Procurement & Supplier Management
- Source, evaluate, and liaise with local and international suppliers for technical equipment, spare parts, and consumables.
- Prepare and process purchase requisitions, purchase orders, and supplier documentation.
- Negotiate pricing, delivery timelines, and payment terms in line with company policies.
- Maintain an up-to-date supplier database and monitor supplier performance.
Importation & Logistics Coordination
- Coordinate the importation of goods, including shipping, customs clearance, and delivery.
- Liaise with freight forwarders, clearing agents, customs authorities, and port officials.
- Ensure timely removal of goods from ports of entry to avoid delays and demurrage charges.
- Verify shipping documents (invoices, packing lists, bills of lading, airway bills).
- Confirm that goods received match purchase orders and shipping documents in terms of quantity and specification.
Inventory & Stock Control
- Ensure all stock items are accurately recorded in the inventory system.
- Monitor stock levels and initiate reorders to prevent shortages or overstocking.
- Track stock movements, including receipts, issues, transfers, and returns.
- Ensure proper storage, labeling, and organisation of inventory.
Stock Take & Reporting
- Conduct regular and occasional physical stock takes and reconciliations.
- Investigate and report discrepancies between physical stock and system records.
- Prepare inventory and procurement reports for management.
- Support audits by providing accurate procurement and inventory documentation.
Compliance & Internal Controls
- Ensure procurement and inventory processes comply with company policies and internal controls.
- Maintain proper documentation for traceability and audit purposes.
- Identify risks related to stock loss, damage, or obsolescence and recommend improvements.

Job Requirements
Qualifications & Experience
- Certificate or Diploma in Procurement, Supply Chain Management, Logistics, Business Administration, or a related field.
- Minimum 2 years experience in procurement, inventory management, or logistics, preferably in a technical or industrial environment.
- Experience with importation processes, customs clearance, and port operations is an advantage.
- Familiarity with inventory management systems or ERP software.
Skills & Competencies
- Strong organisational and attention to detail skills.
- Good negotiation and supplier management abilities.
- Understanding of technical inventory and management.
- Ability to coordinate multiple stakeholders (suppliers, clients, clearing agents, internal teams).
- Proficient in MS Excel and basic reporting.
- Computer literate.
- High level of integrity, accountability, and reliability.
- Ability to work independently and meet deadlines.
Working Conditions
- Office-based with regular visits to warehouses and ports of entry.
- Occasional overtime may be required during stock takes or urgent import clearances.
