Reporting to: Finance Manager & Cluster Procurement Manager

Responsible for: Management of the Purchasing Department and purchasing of all goods, equipment and services the hotel requires.

Job Description

Purchasing

Objectives

  • Is responsible for the Purchase of all goods, equipment and services the hotel requires, in accordance with Hilton Supply Management (HSM) Standards & Policies, and in line with Hilton Worldwide Policies and Procedures.
  • Cost Savings
  • Requests for Proposals/Quotations
  • ABC analysis – improve top 20 spend

Main Tasks

  • Buy goods and materials at the right price, at the required quality, ordered volume and at the right time.
  • Negotiate price and cost with suppliers, ensuring best possible pricing and value for money, at all times.
  • Undertake effective local and overseas supply market research to obtain multiple quotes as often as possible for any purchase.
  • Champion role on all required and necessary RFP & RFQ sourcing activities on all spend category areas for the hotel. (eg: Capex Projects; OS&E and FF&E, etc) within the Cluster.
  • Prepare Purchasing reporting and analytics as required for the spend categories of the Property.
  • Calculate the monthly savings from cost effective purchasing by a constant price comparison and unambiguous proof of the above. Share the savings on a monthly basis with the Cluster Purchasing Manager.
  • Challenge suppliers on any deviations on negotiated prices from suppliers. (Involve Cluster Purchasing Manager if escalation is needed).
  • Adhere to all Hilton, Property & Procurement departmental SOPs.

Supply Management & Logistics

Objectives

Receiving / Stores spot checks

Main Tasks

  • Support the Hotels to ensure the timely purchase and delivery of items required by all departments.
  • Review and track shipments to ensure products received are consistent with orders.
  • Always explore and demonstrate cost effective ways to consolidate consignments of overseas orders, to maintain lowest freight & clearing costs.
  • Responsible for periodic spot checks monitoring of grades and quality of products to ensure that they meet the hotel’s standards.
  • Create and maintain a database of all signed contracts (plus retain actual copies) for the hotel.
  • Monitor and report status of Open Purchase Orders on a weekly basis. report to enable accurate accrual calculations

Suppliers Relationship with Suppliers

Objectives

Develop and maintain Effective Supplier Relationship Management (SRM) at all times.

Main Tasks

  • Develop and enhance existing & new supplier relationship management, to continually drive tangible added value benefits for all applicable category spend areas for the hotel.
  • Strictly adhere & comply with ALL Hilton Code of Conduct and Ethics policies with regards to supplier relationships.
  • Undertake continual supply market trends and insights research, to ensure optimal supply and cost efficiencies for the hotel.

Relationship with Hotel Stakeholders

Objectives

Effective & efficient role as a support function

Main Tasks

  • Develop and maintain effective & professional working relationships with ALL internal stakeholders.
  • Procurement is a key support function for all other departments, to ensure smooth operation of the hotel.  The Purchasing Manager must therefore demonstrate proactive and agile, end to end support at all times, on all reasonable support requests from other HODs, and senior management of the property.

Job Requirements

Required Qualifications & Experience

  • Minimum Education: Bachelor’s degree, Diploma or equivalent.
  • Minimum Qualification: Procurement & Supply Chain qualification/certifications.
  • Minimum Management Experience Leading a Team: Ideally 2-4 years’ experience
  • Proven Experience of Undertaking Capex, OS&E and FF&E sourcing & tenders
  • Proven experience of direct Procurement role supporting the Pre-Opening of a 4/5 star Luxury segment hotel.
  • Fluent knowledge of English, both spoken and written.
  • Birchstreet & “MC” Procure-2-Pay systems knowledge essential.

Additional Desirable Skillsets

  • Strong computer literacy including knowledge of Windows and Microsoft Office Suite (especially Advanced Excel & PowerPoint skillset).
  • MS Office Competency Tests may be undertaken as part of selection process.
  • Excellent Numerical, analytical and Reporting skillset.
  • Ability to review, assess and advise HODs, on simple Supply Contracts & Agreements desirable.

Basic Requirements

  • Clean Driver’s License.
  • Clean valid Passport & willingness to travel overseas for business meetings, training courses, conferences etc.
