Job Description
Key Purpose of the Role
The Registrar’s Office is where students get information about their enrollment, their academic and financial records, and their class schedules. Registrars manage a huge amount of information as they plan and oversee the implementation of Student Support Services; plan and organise student registration and examination logistics, and facilitate an effective and efficient student enrolment process at the Institution. The Registrar is to ensure the integrity, accuracy, and security of all academic records of current and former students; facilitate effective student registration and enrollment.
Job Scope
Develop and implement student recruitment and retention strategies, as well as assist with the development and offering of new training possibilities; promote the Center to the industry, wider community and assist parents in deciding that the particular professional center is their institution of choice, so as to maximise and maintain enrollments in all areas of the Center to contribute to the ongoing financial viability of the PC. It is the responsibility of the Registrar to support the implementation of the institution marketing strategy and to advance the profile, reputation and development of the institution through delivery of a range of marketing activities including communications, production of printed marketing materials, student recruitment, events organization and promotional activities.
Post Responsibilities
- Marketing and Promotion
- In collaboration with the Director, and Deputy Director Studies, design and implement marketing materials and strategies that maintain public interest and increase understanding of the Center’s educational programs.
- Work closely with other administrative and academic staff to take responsibility for the organisation of the institution events to an agreed schedule.
- Assist in the co-ordination of and representation at internal events such as Open Days and fairs, orientation events, conferences and exhibitions such as ApplicanWisit Days and VIP visits, graduations and public lectures; and external events such as major student recruitment events, school expos, career fairs to ensure the Center is represented in the wider community (Industry) and to ensure prospective parents are provided with accurate and appropriate advice.
- Contribute to social media accounts to maximise the positive exposure of the institution’s departments across these platforms.
- Network with careers officers, schools and external organisations/agents and relevant individuals for the purposes of maximising the effectiveness of the communications, marketing and promotional activity undertaken by the institution.
- Work effectively with staff within the institution and external media organisations and other agencies to identify PR opportunities that raise the PR profile of the faculty, nationally and internationally.
- Admissions and Registry Management
- Provide leadership and vision to ensure that the Institution’s admissions practices and procedures are up to date, compliant with all relevant regulations and effectively implemented.
- Responsible for all aspects/logistics of the administration relating to student (local & International) enrolment and provide an efficient, informative and client responsive service to prospective parents.
- Conduct interviews with p,rospective students and parents, ensuring that the Institution meets the needs of individuals, whilst also assessing that the prospective student is suitable for the PC.
- Organise, administer and coordinate induction days for large annual intake.
- Maintain physical and computerized records including student cumulative folders, progress and failure reports, class rosters, schedule changes.
- Process new student records, including requesting transcripts and records from other schools, setting up cumulative folder, and entering student data into appropriate databases.
- Coordinate grading processes, including processing of scan sheets, verification and correction of grades, and printing and distribution of transcripts.
- Process and transmit requests for student information, including student transcripts for colleges and universities.
- Build secure student data files and set policy and procedure for their responsible use.
- Maintain up-to-date course schedules, catalogs, and final examination schedules.
- Manage the provision of counselling services to students.
- Assist the Student Support Officer with the enrollment, withdrawals, and transfer of students and process applicable records
- Technical Administrative Functions
- Provide statistical information to the Director for the Board report as required.
- Provide projected statistics for the following academic year and up to date forecast figures for upcoming terms.
- Provide and examine statistical data that is the student journey from enquiry to recruitment to retention.
- Identify enrolment trends and patterns of withdrawal across the Center and provide recommendations on the number of enrolments required to sustain the PC in future years to assist with Strategic Planning.
- Prepare and provide statistical data and information to government departments (parent ministry, Finance, NBS… )
- Manage and maintain the student administration system database and ensure data integrity as an ongoing process.
- Coordinate the ordering and distribution of all graduate materials, including caps and gowns and certificates.
- Maintain confidentiality of information.
- Supervise staff in the unit.
- Responsible for coordinating support, counselling and the welfare of all students.
- Arrange and/or conduct tours of the campus that are informative and positive experiences that present the PC in the best possible light for prospective students and families.
- Actively participate as a member of the Management Team to assist in the development and implementation of strategies and policies that further enhance the Institution’s educational programs and image to the wider community.
- Participate in the work of appropriate committees.
- Coordinate the work placement for students on work attachment/internship.
- Manage the provision of careers guidance and employment formalities for work.
- Coordinate the organization of life skills talks and other professional development talks.
- Oversee the health and safety of all students.
- Lead the investigation of any student accidents, (on campus or workplaces) and the compiling of the required logistics for insurance claim.
- Participate in selection/recruitment of staff.
- Oversee the coordination and implementation of all extracurricular activities.
- Coordinate the monitoring and investigation of all matters pertaining to student conduct and progression.
Job Requirements
Post Specificities: The post holder is to undertake any other duties commensurate with the grade and level of responsibility of this post, for which the post holder has the necessary experience and/or training. The particular duties and responsibilities may vary from time to time without changing the general character of the duties or the level of responsibility entailed.
Criteria for the Post
Minimum Education requirement
- Master’s Degree in Education or related fields plus at least 2-3 years’ experience in educational administration/management
- Bachelor’s degree in Education or related fields plus at least 5-7 years’ experience in educational administration/management
Other Experience & Skills
Desirable are candidates with previous experience in a similar field, such as admissions or student affairs, as well as related knowledge and skills, to include:
- Proven superior analytical, problem-solving and supervisory skills; attention to detail but also the ability to see the implications for the bigger picture.
- Experience in using IT applications (i.e. Excel, Word, and Outlook), and data-bases.
- Superior oral and written communication skills and sufficient numeracy skills to deal with statistical data.
- Excellent interpersonal skills including the ability to relate to people on all levels with sensitivity
- Strong strategic planning skills and good organizational skills, time management and deadlines, multiple priorities and the ability to handle a complex, varied workload.
- Good quality interpersonal relationships matched by appropriate communication skills and ability to form networks;
- An understanding of the principles of sales and marketing and experience of Event Management.
- Well-developed written and oral communication skills with the ability to deal effectively with both internal and external key stakeholders.
- Ability to work by direction as well as autonomously on your own initiative be self-motivated and driven.
- Ability to maintain relationships with a diverse range of stakeholders, negotiate the resolution of administrative issues. and contribute and cooperate to achieve positive workplace outcomes.
- Good organisational and time management skills and to be able to produce clear and well-structured reports and other documents.
- Ability to deliver advice in a professional, calm and supportive manner.
- Excellent presentation and advocacy skills.
- Proven ability in the prioritisation of work with minimal supervision.
- Ability to multi-task.
