Job Description

Job Summary

  • Responsible for promoting and booking traveling arrangements for individual VIP clients/Luxury TOPs. The goal is to enhance satisfaction and acquire an expanding and dedicated clientele alongside respective Marketing Manager.
  • Determining clients’ needs and suggesting suitable travel packages & itineraries
  • Organizing travels from beginning to end, including accommodation, transportation and activities
  • Supplying travellers with pertinent information and useful travel/holiday materials

Responsibilities:

  • Analyse the clients’ specifications and wishes and suggest suitable travel packages or services
  • Manage all mails and ensure completion of all guest requests within a respectable time frame (maximum 24 hours) as per the company’s policy.
  • Being proactive on skype, telephone for urgent and last minute assistance and changes
  • Provide TOP/Clients with tailor made quotations, detailed program and promotional materials to influence materialisation of booking
  • Provide the best available rates & offers and negotiate added benefits with hotels and other service providers to enhance value of the package
  • Negotiate added benefits with hotels and other service providers to enhance value of the package
  • Up selling of private and tailor made excursions (priority given to in-house products)
  • Organize travels from beginning to end; starting with the initial enquiry, follow up during clients stay to ensure smooth service delivery and ends with after sales courtesy follow up.
  • Process bookings electronically in the Juniper system as per the Reservations Procedure
  • Provide system pro forma invoice as per the Reservations Procedure
  • Follow up on payment with Accounts Department to ensure timely confirmation of booking
  • Supply travellers with pertinent information and useful travel/holiday material (guides, maps, event programs etc)
  • Assist Customer Service with unforeseen problems and complaints
  • Maintain relationships with key persons, stakeholders to ensure smooth negotiation and assistance when issues arise
  • Build up a loyal clientele by managing all customers’ requirements and exceeding their expectations.
  • Organise regular meetings with the reservations staff to review problematic areas and to update the staff on the development of the section
  • Meet with other head of departments and optimization of company procedures, complaints, customer feedback, etc….
  • Attend all VIP meetings
  • Ensure the availability of required resources for the section

Job Requirements

EDUCATION (KNOWLEDGE):

  • Diploma in Tourism, O level in English and French. Knowledge of a third knowledge is desirable.

TRAINING (SKILLS):

  • Good knowledge of the Seychelles Products
  • Computing Skills
  • Public Relations skills
  • Research skills
  • Good knowledge of the destination in all its aspects
  • Knowledge of the different markets

EXPERIENCE:

  • Minimum 2 to 5 years working experience in DMC or hotel reservations

PERSONAL CHARACTERISTICS:

  • Pleasant
  • Good PR person
  • Dynamic and able to work under pressure
  • Good team spirit
  • Punctual/reliable

WORKING HOURS

8 hours per day with one-hour lunch break, Monday to Friday. 4 hours on alternate Saturday

SPECIAL WORKING CONDITIONS

Can be requested whenever required to assist outside normal working hours and normal working days
