Job Description

Position Summary

The Rooms Controller is responsible for overseeing the allocation and management of guest rooms, ensuring efficient room assignments, and optimizing room availability. Work closely with the front desk, reservations, and housekeeping teams to ensure seamless operations and a positive guest experience. The Rooms Controller also plays a key role in maximizing revenue by ensuring that the hotel’s inventory is managed effectively, balancing both guest needs and hotel capacity.

Responsibilities:

  • Monitor daily arrivals, departures, and in-house guests to ensure smooth transitions between check-ins and check-outs.
  • Manage room availability and allocate rooms according to booking levels and guest needs.
  • Update and maintain the hotel’s room inventory system in real time to reflect current room status.
  • Work closely with the Front Desk team to resolve issues related to room availability, overbookings, and guest complaints.
  • Coordinate with Housekeeping to ensure that rooms are cleaned and prepared according to guest
  • Monitor and manage overbooking situations, collaborating with the reservations and front desk teams to handle any discrepancies.
  • Address and resolve any room-related guest issues or complaints, maintaining a high level of guest satisfaction.
  • Communicate effectively with guests regarding room status, upgrades, and availability.
  • Generate reports on room occupancy, availability, and revenue for management.
  • Maintain accurate records of all room changes, cancellations, and special requests.
  • Ensure the hotel’s room inventory is used to maximize room revenue.
  • Ensure all rooms meet the hotel’s standards of cleanliness, comfort, and amenities before guest arrival.
  • Comply with quality assurance expectations and standards.
  • Pre-register designated guests and prepare key packets.
  • Follow up with guests to ensure their requests or problems have been met to their satisfaction.
  • Receive, record, and relay messages accurately, completely, and legibly.

Job Requirements

Skills and Qualifications:

  • Tourism school diploma or equivalent is required.
  • Prior experience in hospitality, customer service, is preferred.
  • Excellent organizational and multitasking skills.
  • Strong communication skills, both verbal and written.
  • Knowledge of hotel management software – Opera is a plus.
  • Ability to remain calm and problem-solve in high-pressure situations.
  • Attention to detail and strong customer service orientation.
  • Problem solving and decision-making abilities.
  • Able to work flexible hours, including evenings, weekends, and holidays.
  • Ability to work independently.
  • Excellent time management skills
