Job Title: Sales Executive – Groups and Incentive
Reporting To: Senior Manager, Product and Operations
Job Description
Main Objective: Prepare Groups, Incentive & Cruiseship programs to this growing market
- Study all received reservation requests (faxes, emails, etc) daily, prioritise and action.
- Negotiate best possible rates in order to secure business.
- Raise pro-forma invoices if required.
- Provide information in response to queries (reservations, facilities) telephonically.
- Open file on each booking, create computer record, and update both.
- Prepare relevant documents, e.g. vouchers, itineraries, etc.
- Attend to customers and amend itineraries, if required.
- Check tour operator vouchers against clients file, raise, certify and dispatch invoices.
- Make suggestions on the improvements and streamlining of procedures.
- Assist with the dealing of letters of complaint.
- Actively influence clients on their choice of services in order to optimise yield per customer.
- Arrange inspection visit and accompany clients with a view of securing business.
- Establish and finalise conditions of payment.
- Liaise with other sections (e.g operations, finance etc.) in order to ensure a smooth overall operation.
- Prepare, record and update all group and VIP bookings on group chart.
- Prepare weekly VIP and monthly group list.
- Make arrangements in respect of PR letters, briefing and debriefing.
- Ensure that all group arrangements are confirmed on a timely basis and inform all concerned.
- Verify correctness of all invoices for extras, for prompt dispatch of final group invoice.
- Assist with arrangements and participate in educations and trade visit.
- Obtain all rates and updates and channel all queries to Manager.

Job Requirements
Qualifications
- Post secondary level of education – ‘A’ levels, preferably School of Business Studies & Accounting
- Diploma in Office Management & Business Accounting
- Advanced Level Certificate (SALS).
Experience
- Some experience in contracting and/or marketing/reservations experience in a DMC or hotel.
Other Skills/Attributes
- Excellent IT skills
- Very good knowledge of Windows Excel and word programmes.
- Ability to learn and master new software quickly.
- Good English and French (written/oral); other languages a plus.
- Meticulous, accurate with attention to detail.
- Very well organized individual.
