POST TITLE: Senior Office Assistant
DIVISION: Diaspora Affairs Division
RESPONSIBLE TO: Director General
Job Description
DUTIES & RESPONSIBILITIES
- Undertake typing duties.
- Document reproduction as required.
- Answering routine written correspondence.
- Carrying out filing and dispatch duties in a timely manner.
- Receiving and advising telephone and personal callers.
- Receiving and responding to e-mail correspondences.
- Taking minutes of Secretaries and Diaspora Division meeting
- Responding to public enquiries.
- Assisting Director General and the Director (Diaspora Division) with authentication of documents, updating the NOP List, Diplomatic Directory and Quarterly Report.
- Relaying messages in the absence/unavailability of Director General ( Diaspora Division) and other officers of the Division.
- Organizing the logistics of meetings, workshops and conferences organized by (Diaspora Division)
- To prepare agendas for meetings, workshops when organized by Diaspora Division.
- Undertaking other secretarial work or special duties as required from time to time and in all situations bringing to the job complete integrity, discretion and confidentiality.
- Scheduling engagements and appointments and assisting the Director General in the organization of his/her work generally.
- Carry out any related duties as may be assigned from time to time.
Benefits
Salary Band: B2 Step 6 plus SOS allowances
Job Requirements
Minimum Qualification
- Diploma in Office Management and Administration/Diploma in Secretarial Studies/Certificate in Office Management (SIM)/Certificate in General Management plus competency certificate in typing or word processing or equivalent
- Plus, a minimum of two (2) years’ experience as an Office Assistant
Other Requirements
- Must have a pleasant personality, very good telephone manners, must be courteous and confidential and be able to communicate well in English and French.
- Candidate must also be willing to work outside normal working hours when necessary.
