Position: Senior Reservation Agent

Department: Reservations

Reports to: Supervisor Reservations

Job Description

Duties & Responsibilities

  • Managing Reservation Agent in the unit
  • Coaching and Mentoring the junior team members in the unit
  • Checking the plan of work duties of the Agents in the team and monitor correspondence
  • Follow the reservation and telecommunication procedures in line with ISO standards, for self and the team.
  • Input files in a correct and timely manner on Astronet system.
  • Update Manual files with correct information.
  • Monitor proper execution of Tour Operator requirements’ summary & files.
  • Monitor files not completed within 24 hours.
  • Monitor on a daily basis, files not invoiced (prepayments & those on credit)) and, in conjunction with Debtors, ensure that pro-forma invoices are raised when required.
  • Report potential problems to the Managers on a timely basis in order that preventive action can to be taken before clients’ arrival.
  • Check TO vouchers against clients’ files, raise, certify & dispatch invoices via relevant Debtors’ controllers.
  • Provide information in response to queries (reservations, facilities etc).
  • Entertain visiting Tour Operators (TOs) and Educational Groups.
  • Maintain close liaison with sales managers & coordinators with regard to     market updates.
  • Have full involvement in the induction of new recruits
  • Be a real team player when it comes to challenges and discipline
  • Fully accountable in managing the team under her/his responsibility
  • Assist in preparing daily, weekly and monthly reports
  • Assist in the coordination of new rate offers
  • Communicating offers to the hotels/tourism establishments as necessitates
