Job Description

Duties & Responsibilities

  • Supervise the assigned store(s) to ensure proper implementation of procedures and regulations
  • Oversee the material receiving process in the presence of the user departments, procurement representative and the logistics, which includes physical handling of stocks such as opening and sorting out of consignment received, verifying physical condition of materials received and ensuring that all items are clearly identified against appropriate invoice or delivery note.
  • Ensure proper control of incoming and outgoing materials.
  • Ensure that all items issued are against a properly authorized Stores Requisition.
  • Manage and maintain the Warehouse Management System (WMS) or inventory records, ensuring high levels of accuracy. Ensure at all times registration of all documents for receiving and issued item.
  • Monitor movements within the warehouses and stores and ensure proper control with regards to unauthorised access in the stores and warehouses.
  • Ensure that store clerks maintain proper control of their respective stores and stock records are properly documented, filed and registered in required format.
  • Ensure that bin location is properly reflected on each item in the system and request entry/correction in the computer system for ease of traceability of items. Ensure the implementation of proper labelling, mapping and identification systems for all materials and locations.
  • Ensure that open yard stores are also numbered and divided into segments to define proper location.
  • Supervise the proper storage and handling of items to prevent degradation or deterioration.
  • Keep inventory records up to date and reconcile with physical balances. Conduct and supervise regular cycle counts and annual physical inventory counts to reconcile records and investigate discrepancies.
  • Investigate, report and action on any stock discrepancies and losses
  • Monitor stock levels and request reordering as needed. Prepare and submit accurate daily, weekly and monthly inventory reports and stock status reports to management.
  • Implement and enforce stock rotation methods (e.g., FIFO) to minimize obsolescence and spoilage. Supervise and enforce proper stacking and storage methodologies across all storage facilities (including chemical warehouses and specialized sub-storage areas) to maximize space and ensure safety.
  • Keep the store surroundings clean and tidy at all times. Oversee the maintenance of clean, well organized and secure warehouses’ environment, strictly adhering to safety and environmental regulations (e.g., proper chemical storage segregation).
  • Communicate effectively with procurement, project and other teams regarding stock levels, availability and lead times.
  • Produce reports for all store transactions and inventory records
  • Assist in the production of financial reports, inventory reports and budget forecasts as needed
  • Ensure the security and safety for all materials and staff
  • Train junior staff and ensure all personnel are knowledgeable about their roles. Lead, train, and mentor the stores team (laborers and clerks) on best practices for stacking, counting, reporting and safety.
  • Foster a culture of accountability by holding team members responsible for the accuracy of their reports and adherence to procedures.
  • Promote proactive planning and initiative within the team to ensure tasks are completed efficiently with minimal direct supervision.

Job Requirements

Educational Qualifications and Experience

  • Minimum of 3-5 years of experience in warehouse operations, inventory control, or stores supervision, preferably in a technical or chemical environment.
  • Proficient in using computerized inventory systems (WMS, ERP software) and Microsoft Office Suite (Excel, Word).
  • Certificate in Supervisory skills
  • Class 2 driving license and willingness to upgrade as per store operations requirements
