Job Description

Job Summary

Manage all transfers on a daily basis in line with operational requirements and performance standards, in order to meet/exceed expectations for both employee and client satisfaction.

Duties & Responsibilities

Office Duties:

  • Extract daily all client transfers/excursions & staff transfers from the current Software System in use.
  • Prepare Scheduled Lists for drivers in a fair and practical manner, assigning them to the various transfers &
  • Excursions, in line with the drivers’ monthly roster.
  •  If there is a need to write by hand (instead of printing) anything on these lists, ensure that this is written legibly so there is no confusion by drivers which may have affect clients adversely.
  •  Print the scheduled lists and distribute/dispatch to all drivers in a timely manner.
  • Check all incoming e-mails and respond to all telephone calls regarding changes to the Scheduled lists.  Action accordingly based on priorities.
  • Prepare a summary of all clients for the following day as well as all new transfers.
  •  Take up telephone duties after working hours (as scheduled/required/optional).
  • Assist with the issue of fuel vouchers, where/when necessary.

Airport Duties:

Deal with all transport issues at the airport for all required arrivals vis-a-vis:

  • Conduct random checks to ensure the vehicles are in good working order.
  • Contact the drivers to ensure that all vehicles needed are on their way to the airport.
  • Hire taxis where/when necessary for the client transfers and send daily Taxi Report to Transport as well as Senior manager – Product & Operations
  • Issue fuel vouchers to the drivers.
  • Organize drivers to arrival points of clients and ensure that all clients are handled.
  • Organise private transfers where necessary.
  • Attend to all go shows (clients who show up but who have not been scheduled on a reference flight)
  • Advise drivers of all client No-Shows as per hosts’/hostesses’ feedback (clients who is schedule to arrive but do not show up on a reference flight)
  • Inform the Transport Officer at Head Office of any client transfer priorities.
  • Handle clients with lost luggage until client leaves airport.
  • Collect all client vouchers from airport and deposit at Reservations department at Head Office.
  • Compile a daily Airport Transport Report and send to Manager Transport with copies to Senior Manager –Product & Operations and Manager Customer Services.
  • Compile a list of the fuel vouchers issued to drivers the day before and send to the Transport Supervisor for analysis.
  • Send reconciliation of fully-used fuel voucher books to Transport Executive at Transport Dynamic, for reconciliation with the Petrol Station.

Job Requirements

Qualifications

  • Post secondary level of education.
  • Computer literacy – OUTLOOK/WORD/EXCEL

Experience

  • Some experience in a similar position dealing with transport scheduling.

  • Good organizational, analytical & communications’ skills
  • Good time management
  • Ability to work under pressure without compromising the integrity of daily schedules.
  • Pleasant personality, people oriented with a good team spirit.
