Job Description

Position Summary

The Accommodation Coordinator is responsible for preparing, managing, and maintaining staff accommodation facilities to support the onboarding process and ongoing staff welfare. This role ensures that all rooms, beds, mattresses, and related items are properly prepared, labelled, allocated, monitored, and recorded. The coordinator maintains an accurate and up-to-date inventory, reports maintenance needs, and supports the HR Department with live accommodation data and weekly reports and works closely with the Property Manager on new accommodation locations and improvements..

Key Responsibilities

  1. Staff Onboarding & Accommodation Preparation
  • Prepare accommodation rooms for new staff as part of the onboarding process.
  • Ensure all rooms are fully equipped with required items (beds, mattresses, linens, furniture, appliances, etc.).
  • Label all items and rooms accurately for traceability and accountability.
  • Maintain a live interactive onboarding tableshowing real-time accommodation status and room readiness.
  1. Staff Allocation & Room Management
  • Allocate rooms to new and existing staff in accordance with HR policies.
  • Maintain up-to-date records of all staff allocations.
  • Monitor room occupancy, availability, and upcoming vacancies.
  • Manage reallocation, renewals, and changes in staff housing assignments.
  1. Inventory & Asset Control
  • Maintain a detailed inventory of all accommodation items (beds, mattresses, furniture, appliances, etc.).
  • Track stock levels and identify items requiring replacement or renewal.
  • Conduct periodic room and item audits to ensure all assets are accounted for.
  1. Maintenance Monitoring & Reporting
  • Conduct regular inspections of rooms and shared areas.
  • Report any maintenance concerns or repair needs directly to the Maintenance Manager.
  • Follow up on maintenance requests to ensure timely completion.
  • Submit weekly reports covering maintenance issues, room conditions, allocations, and inventory updates.
  1. Item Requests & Procurement Support
  • Handle internal requests for items related to staff accommodation.
  • Coordinate with Procurement/Stores for issuance or purchase of required items.
  • Ensure replacement items are accurately documented and updated in the inventory system.
  1. Administration & Reporting
  • Provide weekly and monthly accommodation reports to the HR Department.
  • Maintain digital and physical records in an organized and accessible system.
  • Support audits, compliance checks, and HR reporting requirements.

Skills & Competencies

  • Strong organizational and record-keeping skills
  • Ability to maintain accurate data and live tracking tools (Excel, Sheets, or HR systems)
  • Good communication and coordination skills
  • Ability to work independently and manage multiple tasks
  • Knowledge of basic maintenance issues (advantage)
