Job Description
Energy Solutions Seychelles (ESS) is a locally based company specialising in renewable energy and energy efficiency solutions across the Seychelles.
ESS is seeking a reliable and well-organised Back Office Assistant to support the Director and the smooth day-to-day running of our operations. The successful candidate will handle administrative and back-office functions and will also step into front-of-office duties during the absence of the full-time Secretary.
Key Responsibilities
Back Office Duties
- Provide direct administrative support to the Director, including preparing correspondence, reports, and presentations
- Maintain accurate filing systems, records, and databases (both physical and electronic)
- Assist with data entry and general record keeping
- Liaise with the Accounts department, passing on invoices, receipts, and supporting documents as required
- Coordinate scheduling, appointments, and meeting arrangements for the Director
- Prepare and follow up on quotations, purchase orders, and supplier correspondence
- Monitor office supplies and place orders as required
- Assist with document preparation for tenders, licences, and regulatory submissions
- Handle confidential information with discretion at all time
Front Office Duties (in the absence of the Secretary)
- Welcome and assist visitors and clients in a professional manner
- Answer, screen, and direct incoming telephone calls and emails
- Receive and dispatch mail, deliveries, and courier packages
- Manage the reception area and general customer enquiries
- Take messages and relay them accurately and promptly
Benefits
- Salary of SCR 12,000 – 15,000 per month, depending on qualifications and experience

Job Requirements
Qualifications and Experience
- Certificate or diploma in Business Administration, Office Management, or a related field
- Minimum 2 years’ experience in an administrative or office support role
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Excellent written and verbal communication skills in English (Creole and/or French an advantage)
- Strong organisational skills with attention to detail
- Ability to multitask and work independently with minimal supervision
- Professional presentation and a courteous, customer-focused attitude
- A valid driver’s license (manual transmission) would be an advantage
