Position Title: Conservation & Sustainability Administrator

Reports to: Conservation & Sustainability Manager

Department: Conservation & Sustainability

GENERAL INFORMATION:

Fregate Island is a private island in the Seychelles, home to an exclusive luxury resort and a dedicated Conservation & Sustainability Department operating alongside the island’s hospitality operations. The Conservation & Sustainability Administrator supports the administrative, operational and reporting functions of the Conservation & Sustainability Department. The role combines structured administrative work, data management and sustainability project coordination within a unique island environment. It is suited to a highly organised and analytical individual with an interest in environmental responsibility, who enjoys creating systems, maintaining structure and supporting impactful sustainability initiatives. This position does not require a scientific background; however, it requires strong proficiency in Microsoft Excel, PowerPoint and other operational systems, as well as excellent coordination and organisational skills within a dynamic, remote island setting.

Job Description

KEY RESPONSIBILITIES:

  • Administrative & Operational Support
    • Maintain organised digital and physical filing systems for conservation and sustainability projects
    • Prepare internal and governmental reports as required
    • Assist with budgeting, cost tracking and documentation
    • Support procurement processes related to conservation and sustainability initiatives
    • Maintain project calendars and tracking sheets
    • Coordinate logistics for conservation activities, visiting specialists and external partners
  • Data Management & Reporting
    • Collect, organise and update sustainability data (waste, energy, conservation monitoring, etc.)
    • Maintain dashboards and tracking tools (Excel or similar systems)
    • Support preparation of monthly and annual KPI reports
    • Ensure accuracy, consistency and integrity of departmental records
    • Identify opportunities to improve data collection and reporting systems
  • Sustainability & Conservation Project Support
    • Support implementation of sustainability and conservation initiatives
    • Assist with preparation and updating of SOPs and operational documentation
    • Support compliance with environmental standards and reporting requirements
    • Assist with coordination of approved guest sustainability experiences when required
    • Liaise and organize initiatives with local NGOs
  • Biosecurity
    • Conduct biosecurity checks of vessels and equipment in line with department procedures
    • Report invasive species or biosecurity risks as required
  • Cross-Department Coordination
    • Liaise with HR, Engineering, Landscaping and other departments on sustainability-related matters
    • Support approved internal and external communication related to conservation and sustainability activities
    • Assist with internal sustainability awareness and education initiatives
    • Staff training on sustainability practices
    • Organize and lead educational activities with local community and staff
  • General Duties
    • Participate in team meetings, briefings and staff inductions as required
    • Be prepared to assist with conservation fieldwork when operationally required
    • Support island sustainability initiatives such as waste management and environmental clean-ups as needed

Job Requirement

QUALIFICATIONS, SKILLS & REQUIREMENTS

Qualifications & Experience

  • Diploma or degree in Sustainability, Environmental Management, Business Administration or related field
  • Experience in administrative, coordination or operational support roles
  • Experience working with data and reporting (Excel proficiency required)
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience in hospitality or remote environments is an advantage
  • Comfortable living and working in a remote island environment and shared accommodation

Languages

  • Fluent written and spoken English (required)
  • Additional European languages are an advantage

Skills & Competencies

  • Highly organised and detail-oriented with strong analytical mindset
  • Comfortable working with structured data and spreadsheets
  • Clear written and verbal communication skills
  • Able to manage multiple tasks and deadlines
  • Proactive, solution-oriented and self-motivated
  • Comfortable working independently in a small team
  • Flexible and multitasking

OTHER INFORMATION:

  • The Conservation & Sustainability Administrator must adhere to all company policies, Standard Operating Procedures (SOPs) and health & safety regulations.
  • The Company’s Grooming & Appearance Policy applies; visible tattoos and facial piercings are not permitted in line with resort standards.
  • The Conservation & Sustainability Administrator is expected to respect island living conditions and maintain professional conduct at all times, both on and off duty.
  • The role may require flexibility, and the Administrator may be asked to perform additional duties reasonably assigned by the Head of Conservation & Sustainability or Resort Management in line with departmental objectives.
