Post Title: Mail Operations Specialist

Job Description
Summary of main duties:
The Mail Operations Specialist performs specialised operational duties involving mail processing, parcel handling, registration services, dispatch preparation, tracking system management and customer service. The position contributes directly to operational efficiency, postal security and customer satisfaction.
Key Responsibilities
Mail & Parcel Logistics Processing
- Execute the receiving, systematic classification, sorting, and processing of domestic and international letters, small packets, and parcel dispatches in accordance with Universal Postal Union (UPU) standards.
- Prepare, verify, and seal inward and outward postal dispatches for local branch distribution and international dispatch, ensuring accurate weight checks, routing labels, and manifest documentation.
- Exercise chain-of-custody oversight for registered, insured, and high-value accountable mail through precise intake, handover, and securing procedures.
Postal Systems & Tracking Operations
- Capture and execute mandatory event scans within international postal tracking platforms (IPS Light, PMS, and EMS) to maintain real-time track-and-trace visibility.
- Maintain accurate electronic operational records, auditing system data entry to correct status anomalies, duplicate entries, or missing tracking events.
Registration, Customer Inquiries & Exception Management
- Process inward and outward registered items, verifying delivery signatures, authorisation credentials, and official identification upon release.
- Generate, issue, and track customer advice slips, notification forms, and official inquiry records for accountable and unclaimed postal items.
- Investigate, trace, and resolve customer and operational mail inquiries, escalating unresolved or complex trace requests to the Post Office Supervisor.
Quality Assurance & Mail Security
- Identify, document, and process missent, misrouted, damaged, or suspect postal packages, ensuring immediate routing correction or return-to-origin processing.
- Enforce strict compliance with postal security frameworks, dangerous goods regulations, prohibited item policies, and customs requirements.
- Manage the systematic hold, notification, and authorised disposition of unclaimed or undeliverable mail.
Counter Service & Customer Engagement
- Deliver high-quality, professional customer assistance at service counters, processing parcel acceptances, registered items, and postal transactions.
- Provide expert guidance to the public regarding postage rates, packaging standards, prohibited items, customs declarations, and available postal products.
Records Management & Compliance
- Maintain accurate, audit-ready physical logbooks, dispatch registers, and operational files.
- Safeguard sensitive customer information and postal records in full compliance with corporate data protection and confidentiality policies.
Operational Adaptability
- Perform additional operational duties as directed by supervisory management to support branch workflows and overall organisational objectives.
Job Requirements
Qualification and experience:
- Post-Secondary School Certificate or equivalent recognised qualification.
- Ability to communicate effectively in English and Creole; knowledge of French would be an advantage.
- Basic computer knowledge.
- Mail security awareness and accountability.
- Data-entry precision
- Operational accuracy
- Good communication, customer-service and organisational skills.
- Ability to work effectively in a team and under pressure.
- Flexible and willing to be trained and rotated across all Operations sections.
- Previous experience in postal, logistics, delivery or customer-service operations would be an advantage.
