Job Description

Purpose:

The role of the Materials Store Supervisor is to lead and supervise the materials store team in the daily operations/activities of raw materials, packaging components, consumables, and POS (Marketing items) stock movements including the receival, storage, and issuance of stock in a control environment.

The role is responsible for maintaining accurate system-based stock records (ERP/physical), ensure accurate stock management, timely material availability for production, and ensure that the processes are in line with the Company policies and procedures and supporting all compliance initiatives (safety, quality and inventory control standards) relating to the areas of responsibility.

The Materials Stores Supervisor is responsible for all warehouses (internal and external) which holds SBL stocks as mentioned above.

Top Accountabilities

  • Materials & Inventory Management
    • Supervise receipt, receive, accurately verify/account documentations for any incoming materials as they come in from ports or offloaded from containers.
    • Process receipt of any incoming materials on the ERP system and complete Incoming Inspection Forms in a timely manner.
    • Store all incoming materials in the appropriate specified location in such manner that would not impact on quality & ensure security of goods at all times.
    • Ensure proper storage, identification, and preservation of materials.
    • Implement and monitor FIFO/ FEFO inventory practices
    • Maintain accurate stock records in ERP/manual systems for Raw Materials, Packaging components, POS materials, and consumables across all warehouses.
    • Plan and conduct cycle counts, physical stock verification, and spot checks.
    • Carry out physical stock count and stock take on all materials and components and reconcile with system stock, highlight and explain variances on weekly and monthly basis.
    • Investigate and resolve stock variances and discrepancies.
    • Produce and populate stock movement, rotation, expiry tracking and replenishment reports weekly.
    • Monitor the daily availability of core equipment, consisting of forklifts, pallet jacks, electric stackers.
    • Ensure downtimes are reported on time to internal or external stakeholders for on time repairs.
  • Production & Dispatch Support
    • Process and physically issue materials only upon receipt of requisition to the correct department
    • Coordinate with production, procurement, and quality teams.
    • Monitor material availability to prevent production delays
    • Manage returns, rejections, and non-conforming materials,
  • Team Supervision
    • Supervise and allocate work to storekeeper, forklift, and helpers.
    • Train team members on SOPs, safety, and material handling practices.
    • Monitor attendance, discipline, and performance of staff.
    • Foster and lead teamwork and demonstrate good leadership behaviour.
  • Compliance & Safety
    • Ensure compliance with safety, 5S, ISO, and/or GMP requirements.
    • Maintain housekeeping and safe storage conditions.
    • Ensure all employees adhere to Health and Safety procedures and wear their PPE (Personal Protective equipment),
    • Reports to Health and Safety (H&S) Manager & Department Manager in case of injury and ensures that first aid is given to employees if needs be by an authorised and trained first aider.
    • Fills in the injury report as and when needed and sends to H&S Manager and Department manager.
    • Support internal and external audits related to stores.
    • Carry out regular audits of the stores against GMP requirements and assure all findings are addressed to completion.
    • Ensure that housekeeping, operations undertaken at the area and under your responsibility are conducted in the safest possible way to drive PPE compliance across all our activities.
  • Reporting & Continuous Improvement
    • Prepare inventory, consumption, and aging reports.
    • Monitor slow-moving, non-moving, and obsolete stock.
    • Suggest improvement in layout, processes, and material flow.
    • Conduct investigations and problem solving for any deviation and inaccuracies.
    • Ensure that set KPI’s allocated are recorded on a timeline manner.
    • Inventory accuracy and stock reconciliation
    • Timely material availability to production
    • Reduction in material losses, damages, and obsolescence
    • Audit compliance and safety performance

Job Requirements

Qualifications + Experience

  • Diploma in Business Studies or over 3 years’ experience in stores management.
  • Stores Management qualifications
  • Prior supervisory experience preferred.

Skills & Competencies Required

  • Knowledge of our SKU, bottle types, and pallets configurations
  • Knowledge on materials management and inventory control.
  • Working knowledge on FIFO/FEFO and stock aging
  • ERP or inventory system proficiency
  • Experience in loading and offloading as per relevant documentations
  • Broad experience customers relationship
  • Computer Skills
  • Effective Communications skills
  • Analytical and problem-solving skills
  • Self-motivated and achievement oriented
  • Structured and organised approach to work
  • Ability to manage time and prioritise
  • Have experience in managing stocks and be able carry out stock counts and reconciliation.
