Position Summary
The Operations Manager is a senior leadership position responsible for overseeing and coordinating all operational activities across the Executive Group of Companies. This role encompasses direct management of day-to-day operations for MJM Cleaning Agency and Executive Logistics, while ensuring operational excellence, efficiency, and alignment with company strategic objectives across all business entities. The Operations Manager will supervise operational staff, including supervisors, and serve as the key liaison between the Company Director and operational teams.
KEY RESPONSIBILITIES:
- Strategic Operations Management
- Develop and implement operational strategies aligned with company goals across all business entities
- Establish and monitor key performance indicators (KPIs) for operational efficiency and service quality
- Identify opportunities for process improvement, cost optimization, and service enhancement
- Prepare operational reports, analytics, and recommendations for senior management
- Contribute to strategic planning and business development initiatives
- Direct oversight of all company operations
- Manage client relationships, ensuring exceptional service delivery and client satisfaction
- Coordinate scheduling, resource allocation, and deployment of cleaning teams
- Ensure compliance with health, safety, and environmental regulations in all cleaning operations
- Manage equipment inventory, maintenance schedules, and procurement of cleaning supplies
- Oversee quality control procedures and conduct regular site inspections
- Team Leadership and Supervision
- Directly supervise and manage operational supervisors across all business entities
- Oversee workforce planning, including recruitment, training, and performance management of operational staff
- Conduct regular team meetings, briefings, and training sessions to ensure operational readiness
- Implement performance evaluation systems and provide coaching, mentoring, and development opportunities
- Address employee relations issues, disciplinary matters, and grievances in coordination with HR
- Foster a positive, productive, and safety-conscious work culture
- Supervisory Functions
- The Operations Manager assumes all supervisory responsibilities, including but not limited to:
- Daily operational oversight and coordination of field teams and service delivery personnel
- Assignment of tasks, work orders, and job schedules to operational staff
- Quality assurance inspections and service quality verification
- Real-time problem-solving and resolution of operational challenges
- Monitoring attendance, punctuality, and adherence to company policies and procedures
- Equipment and vehicle inspections, ensuring operational readiness and safety compliance
- Customer site visits and direct client interaction to ensure satisfaction and address concerns
- Documentation of incidents, accidents, and safety-related matters
- Compliance and Risk Management
- Ensure strict compliance with all relevant health, safety, and environmental regulations
- Implement and maintain workplace safety programs, policies, and procedures
- Conduct risk assessments and implement mitigation strategies for operational risks
- Coordinate safety training, emergency drills, and incident response procedures
- Maintain accurate records, documentation, and reporting systems for compliance purposes
- Client Relations and Business Development
- Build and maintain strong relationships with key clients and stakeholders
- Handle client inquiries, complaints, and feedback with professionalism and urgency
- Participate in business development activities, client presentations, and proposal development
- Identify opportunities for service expansion and new business growth
- Conduct regular client satisfaction surveys and implement improvement initiatives
- Financial and Budget Management
- Develop and manage operational budgets for assigned business entities
- Monitor expenses, identify cost-saving opportunities, and implement cost-control measures
- Authorize expenditures within delegated authority and ensure proper financial documentation
- Prepare financial reports and variance analysis for management review
- Contribute to pricing strategies and quotation preparation for service contracts

Job Requirements
QUALIFICATIONS AND EXPERIENCE
- Educational Qualifications
- Professional certifications in operations management, supply chain, or project management (highly desirable)
- Health and Safety certifications (e.g., NEBOSH, IOSH) are an advantage
- Professional Experience
- Minimum 5 years of progressive experience in operations management, preferably in service industries
- Proven track record of managing multi-site or multi-business operations
- Demonstrated experience in team leadership, supervision, and staff development
- Experience in the cleaning, logistics, or facilities management industry is highly advantageous
- Strong background in quality management, process improvement, and operational excellence

WORKING CONDITIONS
- Office-based position with regular field visits to operational sites and client locations
- Standard working hours: Monday to Friday, 8:00 AM to 5:00 PM (with flexibility as required)
- Extended hours, weekend work, and on-call availability may be required during peak periods or emergencies
- Valid driver’s license and own reliable transportation required for site visits and client meetings
- Physical requirements include ability to conduct site inspections, which may involve walking, standing, and navigating various terrain
- Exposure to outdoor environments and operational sites during inspections and audits
