Job Description

Role purpose

The officer will ensure the timely and cost-effective sourcing and movement of products, maintain productive
relationships with brand partners and suppliers, and coordinate and execute approved marketing activities that support sales and brand growth. The role requires strong follow-through from demand planning and supplier engagement through ordering, shipping, receipt, promotion and performance review.

Key responsibilities

Supplier and brand partner management

  • Manage day-to-day relationships with Hisense, Philips and other local and international suppliers and brand partners.
  • Serve as a central contact for quotations, price lists, product availability, forecasts, orders, shipment updates, claims and commercial support.
  • Support commercial negotiations on pricing, payment terms, minimum order quantities, promotional funding, warranties and after-sales arrangements.
  • Prepare partner updates, sales and inventory reports, order forecasts and performance reviews, and follow through on agreed actions.
  • Coordinate product launches, training, merchandising and campaigns, and support development of reseller, corporate, monitor competition activities and institutional channels and suitable new brands for Seychelles.
  • Maintain professional, timely communication and accurate records of supplier commitments, approvals and correspondence.

Procurement and inventory planning

  • Coordinate procurement requirements using sales performance, stock levels, lead times, seasonal demand and approved budgets, supported by stock takes and reconciliation of physical stock, system balances and outstanding orders.
  • Obtain and compare quotations, prepare purchase recommendations and purchase orders, reconcile supplier invoices, prices and quantities received, and secure the required internal approvals.
  • Monitor supplier pricing and product changes and highlight their effect on landed cost, retail pricing, margin and market competitiveness.
  • Maintain procurement schedules, order trackers and product records; coordinate approved supplier payments and proof of payment with Finance and suppliers; and order spare parts for warranty and non-warranty repairs.
  • Work with sales, finance and management to reduce stock-outs, excess inventory, slow-moving stock and
    avoidable procurement costs.

Logistics importation and order fulfilment

  • Coordinate shipments from order confirmation through dispatch, freight booking, customs clearance, delivery and receipt into stock.
  • Liaise with suppliers, freight forwarders, shipping lines, customs agents, insurers and relevant authorities.
  • Verify commercial invoices, packing lists, bills of lading, certificates, permits and clearing documents, and  submit import-related expenses and supporting records to Finance for landed-cost calculations.
  • Track ETD, ETA, container utilisation, CBM, freight and related charges, and escalate delays or cost variances promptly.
  • Prepare and maintain documentation required by the Seychelles Energy Commission and relevant authorities for qualifying energy-efficient and VAT-exempt products.
  • Coordinate receipt inspections and initiate and track claims for shortages, damaged, defective or warranty covered goods through to repair, replacement, spare parts, credit note or reimbursement.
  • Support local deliveries, inter-branch transfers and other operational logistics when required.

Marketing coordination

  • Coordinate approved marketing calendars and campaigns for HES, assigned brands and DStv Seychelles. DStv commercial, pricing and recovery strategy remains under the General Manager and Managing Director.
  • Develop campaign briefs and coordinate advertisements, promotional materials, social media content, point-of sale materials and in-store displays.
  • Liaise with media houses, designers, printers, agencies, suppliers and partners to deliver campaigns on time and within approved budgets.
  • Support product launches, promotions, events, corporate offers and customer-engagement activities.
  • Track campaign expenditure, partner contributions, campaign execution and available performance indicators, and prepare periodic reports.
  • Ensure brand assets and communications follow approved brand standards and contain accurate products, prices, dates and terms.

Administration reporting and controls

  • Maintain organised procurement, logistics, supplier, product and marketing records for audit and management review.
  • Prepare regular status reports covering open orders, shipment progress, risks, claims, costs, marketing activities and pending decisions.
  • Coordinate with Finance to support invoice verification, payment processing, landed-cost calculations and supplier reconciliations.
  • Comply with company approval procedures and delegated authority. The officer may recommend prices, orders, payments and commercial terms but may not approve or commit ZHL without the required General Manager or Managing Director authorisation.
  • Provide reasonable administrative cover during the Administration Officer’s absence, assist with HES and DStv sales operations when required, and perform other related duties assigned by management.

Job Requirements

Qualifications & Experience

  • Diploma or degree in procurement, supply chain, logistics, business administration, marketing or a related field.
  • A minimum of two years’ relevant experience is required, with three years preferred, in procurement, imports, supplier management or a comparable commercial role.
  • Experience with international suppliers, shipping documentation, freight forwarders, customs processes,
    consumer electronics, appliances or retail is an advantage.
  • Proficiency in Microsoft Office, particularly Excel, Word, PowerPoint and Outlook.
  • A valid driving licence is an advantage.
