Job Description
Job Summary
Assist in the procurement of goods, works and services, ensuring best value, quality and compliance with established procurement procedures.
Duties & Responsibilities
- Processes Requests for Quotation (RFQs) as directed by supervisors, in accordance with established procurement procedures.
- Evaluates and compares quotations for both local and international procurements to support the procurement decision-making process.
- Prepares and issues Local Purchase Orders (LPOs) and International Purchase Orders (IPOs) in accordance with approved procurement requirements.
- Maintains and updates procurement records, including accurate data entry in the Purchase Order Tracker.
- Ensures all procurement-related documentation is properly filed and maintained for audit, compliance and record-keeping purposes.
- Liaises with suppliers, end users and other cross-functional departments to resolve procurement-related queries and facilitate effective communication.
- Coordinates with the Finance Department on matters relating to supplier payments and invoice processing.
Job Requirements
- Education, Qualifications and Experience
- Post-secondary level of education with good numerical skills.
- Fluency in English, both verbal and written.
- Proficiency in MS Word, good spreadsheet skills and a working knowledge of MS Office applications.
- Certificate in Public Procurement.
- CIPS certificate or equivalent.
- 1–3 years’ experience in the field of Purchasing in a medium-sized organization.
- Personal Attributes and Other Skills
- Excellent interpersonal and communication skills.
- Good negotiation and analytical skills.
- Familiar with Public Procurement.
- Ability to prioritize.
- Driving license.
