Job Description
Job Summary
Respond to all incoming reservation requests from relevant markets, in a timely manner following the approved company procedures.
Duties & Responsibilities
- Study all daily reservation requests (emails etc), on a daily basis, prioritize & action as per allocated markets.
- Create a hard file and computer data for each reservation and update both.
- Input files in a correct and timely manner on Astronet system.
- Update Manual files with correct information.
- Monitor proper execution of Tour Operator requirements’ summary and files.
- Monitor daily airport reports, check on problem areas and take appropriate action. Follow up as per requirements and update affected parties (reps, etc), of changes made.
- Monitor files not invoiced (prepayments & those on credit) on a daily basis and, in conjunction with Debtors, raise proforma invoices on a timely basis or as and when required.
- Check tour Operator vouchers against clients’ files; raise, certify and dispatch invoices via debtors’ controllers.
- Provide information in response to queries (reservations, facilities etc).
- File properly in each file all correspondence from the Tour Operator, Suppliers (internal and external) and services reconfirmed.
- Update and report on allocations’ charts to the Product & Contracts department.
- Report potential problems to the Senior Agents or Managers on a timely basis in order that preventive action can be taken before clients’ arrival.
- Entertain visiting Tour Operators (TOs) and Educational Groups.
- Any other relevant duties pertaining to the position.

Job Requirements
Qualifications
- Post secondary level of education, preferably ‘A’ levels or Business Studies.
- A good level of oral and written English & French, with other languages an advantage.
- Very good skills in Microsoft Words/Excel, with the ability to quickly master new software.
- A good communicator with a mature/confidential personality.
- Hard working, organized and able to pay attention to detail.
Experience
- Experience working in a similar field would be advantageous.
- Some experience in sales or marketing or reservations would prove useful.

- Pleasant and affable personality
- Excellent communication and customer service skills
- Must be able to work outside normal working hours
- Must be a motivated, well organized, energetic individual who is willing to learn
