Job Description
Job summary
Manage and maintain the HRIS database, liaise with IT, and provide HR information and support to management and staff. Lead recruitment activities by implementing staffing strategies that meet the company’s workforce needs and support the HR Manager in building a strong and effective workforce.
Principal duties and responsibilities
HR Information Systems & Reporting
- Manage and maintain the HR database/HRIS, ensuring employee records are accurate, complete, secure, and up to date.
- Coordinate and supervise HR data entry and regularly reconcile electronic records with physical files to maintain data integrity.
- Maintain management and employee records, including leave, misconduct, status changes, and other HR information.
- Prepare weekly, monthly, and ad-hoc HR reports, statistics, and analyses to support management decision-making.
- Develop and improve HRIS reports, queries, processes, and functions based on HR requirements.
- Liaise with IT on system troubleshooting, enhancements, and new requirements.
- Develop user procedures and guidelines and provide HRIS training and support to staff.
- Keep abreast of HRIS developments and continuously improve knowledge of HR systems, tools, and best practices.
Recruitment & Staffing
- Coordinate and manage the full recruitment process, from receiving approved staffing requests and advertising vacancies to interviewing, selection, reference checks, and placement.
- Ensure positions are budgeted, have current job descriptions, and comply with relevant policies and procedures before recruitment.
- Develop recruitment strategies and plans to maintain adequate staffing levels and meet organisational needs.
- Work with managers and the HR Manager to identify staffing requirements and improve recruitment and hiring processes.
- Build and maintain relationships with recruitment agencies, educational institutions, and other potential sources of qualified candidates.
- Coordinate career fairs, recruitment events, internships, work attachments, holiday employment, and other talent acquisition initiatives.
- Maintain accurate recruitment records and prepare recruitment and staffing statistics and reports.
- Conduct initial HR induction for new employees and exit interviews for departing employees.
HR Support & Administration
- Assist with HR research, surveys, training, and other HR initiatives as required.
- Ensure HR policies, procedures, and related documents are maintained and kept up to date.
- Provide guidance and support to HR officers and assist with HR, training, and administrative functions when required.
- Prepare monthly activity reports and other information required by the HR Manager for monitoring and analysis

Job Requirements
Minimum Qualifications/Skills/Experience
- A University Degree in Human Resources, Public or Business Administration, or other related field such as Social Sciences.
- At least 3 years’ experience as a Recruitment Specialist / HR Entry Database or HR Generalist. (For qualification lower than a first degree).
- Ability to interpret and implement Seychelles labour laws.
- Strong computer skills and use of HR information systems.
Good communication and interpersonal skills.
