Job Description
J0b Summary
To provide high-level administrative and secretariat support to the Office of the Chief Executive Officer and Deputy Chief Executive Officer, ensuring the efficient coordination of executive activities, effective information management, and professional liaison with internal and external stakeholders in support of SPGA’s mandate.
DUTIES AND RESPONSIBILITIES:
- Provide administrative support to the CEO and DCEO, including diary management, scheduling of meetings, and coordination of appointments.
- Serve as a central point of contact for the Secretariat, ensuring smooth communication and liaison with internal sections, ministries, agencies, and external partners.
- Support the preparation, coordination, and follow-up of executive meetings, including agenda preparation, minute taking, and action tracking where required.
- Manage all correspondence, files, and documentation processed through the Secretariat, ensuring accuracy, proper filing, timely distribution, and strict confidentiality.
- Ensure sensitive and confidential information is handled responsibly and shared strictly on a need-to-know basis.
- Prepare, type, and format official correspondence, reports, memos, and other documents accurately and within deadlines.
- Provide administrative support services including photocopying, scanning, emailing, note-taking, and coordination of travel arrangements.
- Monitor office supplies and equipment, initiate procurement requests, and ensure the Secretariat office is adequately resourced at all times.
- Arrange meeting venues, prepare facilities, and coordinate refreshments or logistics for meetings, workshops, and official events when required.
- Receive, screen, and appropriately direct telephone calls, emails, and visitors in a professional and courteous manner.
- Perform any other related administrative or secretariat duties as assigned by the CEO or DCEO, in support of SPGA’s operational and strategic objectives.
Job Requirements
MINIMUM ENTRY REQUIREMENT
- Education: Diploma or Certificate in Office Management, Business Administration, or related field.
- Experience: Minimum of three (3) years as an Office Assistant or equivalent role.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook) and aptitude for learning new software.

- Strong verbal and written communication abilities in English (French/Creole is an advantage).
- Ability to work independently, prioritize tasks, and meet deadlines under pressure.
