The Office of the Ombudsman is recruiting a Senior Private Secretary.
Job Description
Reports to: The Ombudsman
Working Hours: 8.00 a.m. to 4.00 p.m.
Main purpose of the job:
The main purpose of this role is to provide comprehensive secretarial and administrative support to the Ombudsman by managing their daily operations and schedule. This includes handling correspondence, organising meetings and travel, maintaining an efficient filing system, and preparing documents such as reports and minutes of meetings. The role ensures smooth and timely communication, facilitates the Ombudsman’s work, and assists in the overall functioning of the Ombudsman’s Secretariat through various administrative duties as directed.
Duties & Responsibilities:
- Undertake all secretarial duties for the Ombudsman.
- Manage the Ombudsman’s work schedule.
- Support the Secretariat of the Ombudsman.
- Manage the Ombudsman’s diary.
- Receive, dispatch, record and file correspondences and other documents.
- Undertake typing and filing duties for the Ombudsman.
- Undertake scheduling of appointments, meetings and travel bookings for the Ombudsman.
- Maintain and update a filing system for all documents.
- Undertake recording and preparation of minutes of meetings.
- Assist with compiling reports.
- Any other equivalent duties as directed by the Ombudsman.
Job Requirements
Minimum Education or Training Requirements:
- Diploma in Secretarial studies or equivalent.
Minimum Experience Requirements in addition to Education/Training Requirements:
- A minimum of 3 years of experience as a Private Secretary.
