Job Description
PURPOSE
The Ship Supply Manager is responsible for overseeing the procurement, inventory management, and timely delivery of supplies and provisions to vessels. This role ensures that operations are conducted efficiently, cost-effectively, and in compliance with industry standards while maintaining strong relationships with clients and suppliers.
KEY RESPONSIBILITIES:
- Procurement and Supplier Management
- Source and negotiate with suppliers to secure high-quality products at competitive prices.
- Maintain a database of reliable suppliers and evaluate their performance periodically.
- Ensure timely procurement of goods based on client requirements and forecasted demand.
- Sales and Revenue Management
- Drive monthly and yearly sales to meet or exceed budget targets in line with company strategies.
- Collaborate with the sales team to identify new opportunities, upselling services, and expand the
customer base. - Regularly review sales performance metrics, ensuring alignment with departmental and organizational
goals.
- Logistics Coordination
- Plan and manage the delivery of ship supplies to meet vessel schedules.
- Coordinate with internal and external logistics teams to ensure the seamless transportation of goods.
- Monitor and resolve any issues related to delivery delays, damaged goods, or quality concerns
- Inventory Management
- Oversee stock levels to ensure optimal inventory and reduce wastage.
- Implement inventory control measures to avoid shortages or excesses.
- Conduct regular audits of inventory and ensure accurate record-keeping.
- Client Relations
- Serve as the primary point of contact for shipowners, operators, and other stakeholders.
- Address client queries promptly and provide tailored solutions to meet their needs.
- Ensure a high level of customer satisfaction and maintain strong business relationships.
- Team Leadership and Development
- Lead and manage the ship supply team, providing guidance, training, and performance feedback.
- Foster a culture of teamwork, accountability, and continuous improvement within the department.
- Assign tasks effectively to ensure smooth daily operations.
- Compliance and Quality Assurance
- Ensure compliance with maritime and supply chain regulations, safety standards, and company policies.
- Implement quality control processes to maintain the highest standards of goods supplied.
- Budget and Cost Management
- Monitor departmental budgets to ensure cost-effective operations.
- Identify cost-saving opportunities without compromising service quality.
- Prepare and present financial reports and operational metrics to senior management.
- Process Optimization
- Develop and implement efficient workflows and processes to enhance operational efficiency.
- Stay updated on industry trends and leverage innovative solutions to improve service delivery.

- On-time delivery percentage.
- Inventory turnover rate.
- Cost savings achieved through procurement and logistics optimization.

Job Requirements
MINIMUM REQUIREMENTS:
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, Maritime Studies, or a related field
- Professional certifications in supply chain or procurement (e.g., CIPS, CSCP) are an advantage
- 5–8 years’ experience in:
- Ship supply, maritime logistics, or supply chain operations
- Procurement, inventory management, and logistics coordination
- 3+ years in a supervisory or managerial role
- Proven experience managing supplier relationships and contract negotiations
- Strong understanding of:
- Ship supply operations and vessel provisioning requirements
- Maritime, port, and supply chain regulations
- Inventory control, demand forecasting, and stock optimization
- Experience managing time-sensitive deliveries aligned with vessel schedules
- Demonstrated ability to:
- Drive sales performance and meet revenue targets
- Manage departmental budgets and cost controls
- Analyze KPIs, sales data, and operational metrics
- Solid understanding of pricing, margins, and cost-saving strategies
- Experience with ERP / supply chain systems
- Strong proficiency in MS Excel and reporting tools
- Ability to prepare financial and operational reports for senior management
- Proven people-management skills with experience leading operational teams
- Ability to coach, develop, and performance-manage staff
- Strong decision-making, planning, and problem-solving abilities
Communication & Client Relations
- Excellent communication and negotiation skills
- Proven ability to build and maintain long-term relationships with clients, suppliers, and internal stakeholders
- Customer-focused mindset with strong stakeholder management skills
