Job Description
Job Summary:
The Senior Office Assistant will provide support to the Secretariat by managing day-to-day administrative tasks, ensuring smooth office operations, managing all clients received at the office and facilitating effective communication within the department. This role involves coordinating internal meetings, maintaining records, handling communications, effectively directing clients and other persons to their appropriate destinations and providing general administrative support to ensure the efficient functioning of the office.
Key duties and responsibilities
- Oversee daily office operations to ensure smooth workflow
- Coordinate internal meetings, scheduling the use of the boardroom or other available offices as required.
- Maintain a record of incoming mails, scanning copies for documentation purposes in a dedicated filing system.
- Ensuring effective communication regarding transactions, queries, requests, decisions, reports, and approvals.
- Handle incoming calls for all staff members, including Import/Export permit unit, and direct calls to respective extensions.
- Greet and welcome visitors, including walk-in public and officials attending scheduled meetings.
- Maintain and organize file records related to financial, administrative, HR, fixed assets, and contracts.
- Support the onboarding of and organization of welcoming pack for newly recruited officers.
- Provide weekly updates on staff’s annual leave, overseas missions, and other related absences including emails on leave of absences of officers due to illness
- Book external meeting spaces and make necessary arrangements, for transportation. including provisions for refreshments.
- Coordinate the procurement of snacks or lunch for meetings and events in collaboration with administrative officer.
- Coordinate transportation assistance for staff attending various engagements outside of office.
- Ensure proper organization of rooms for meetings in collaboration with the administration officer and the housekeeper.
- Receive and sign off incoming mails from external bodies, and record outgoing mails in the dispatch log book for drivers.
- Attend and coordinate the dispatch and deliveries for the Department.
- Attend to the duties of the Administrative Officer during her absence.
- Assist in the preparation of budgets and reports.
- Any other duties incidental to the post as assigned by the Principal Secretary.

Job Requirements
Qualifications and Requirements:
- Diploma in Office Management and Administration
- Certificate in Office Management (SIM)/Certificate in General Management plus competency certificate in typing
- Certificate in Secretarial/Clerical Studies or equivalent plus two years satisfactory work experience
